Enabling a User for KnowBe4 Security Training
Every library employee who is provided with an email address or has access to a staff computer must take security training modules from KnowBe4.
Before you can enable a user, you must verify that the user is a member of the KnowBe4 group on the domain.
Open the DC server, and open the Users and Groups application.
Find the user and open the user panel. Click on the Member Of tab at the top and verify that they are a member of the KnowBe4 Users group. If they are not, click on the Add button and add them to the group.
After verifying the user access, log into the KnowBe4 admin panel at: https://training.knowbe4.com/ui/login
Click on the Users option from the top menu and choose Create Single User.
On the Create New User page, fill out the user's email address, first name, last name, and job title. Do not set a password for the user. Check the box to select groups for the user and add them to the Library Staff group. Click on Create User.
Find the user in the list and click on them to open the properties. Click on the User Information tab.
On the User Information tab, click on the Find Manager option, and type in the name of the user's manager. After selecting it, it will auto fill in the name and email address for the manager. Click on Update at the bottom of the page. Adding the manager will also automatically set the other groups for the user.
The first time the user logs in, they should log in with their library email address first. This will check if the user is allowed to log in to KnowBe4 based on their group membership. if they are not a member of the group or their was some other error, when they log in, you will see an error message.
If all is well, they will be logged into their KnowBe4 training page.
Removing a User from KnowBe4
To remove a user from the KnowBe4 system, log into the KnowBe4 portal as an administrator. https://training.knowbe4.com/ui/login
Ensure that the user has been removed from the KnowBe4 group in the Domain and Entra before continuing.
Go to the Users tab at the top dashboard.
Find the user you are removing and click on the dot menu on the right side. Select the option for Archive.
You cannot delete users from the KnowBe4 system, only Archive them. After selecting Archive and confirming it, the user will be removed from the list.
