Updating Workflows

Right-click the desktop icon and run as administrator.
If there is no desktop icon, open the Start Menu and search for Workflows.


Right click and open file location.
Right click the shortcut and run as administrator.


Accept the Windows security prompt.
When logging in to Workflows, ensure the configuration info is correct.


Log in to Workflows with your manager account (e.g.: LEWISMGRMATT).


Accept the download when prompted.


Wait for the download to complete. This will take a few minutes.


When prompted, choose Install Now.

Click Next on the installation wizard and wait for it to finish.


Choose Finish when it becomes available.
When the wizard is done, it should relaunch Workflows. Sign in again and wait for new files to download.
Verify the main menu appears. If so, the update was completed successfully.
Restart the computer to make sure the new files are applied.

Opening a Support Case with the MSC

Start by going to the MSC support site at: https://msl.mt.gov/libraries/library_services_support

Choose the Citizen Login option and log in using the systemsstaff@lclibrary.org credentials (Dashlane).

Fill out the form for a new request.  Make sure you select the Montana Shared Catalog as the support team.

Once the ticket is submitted, you will receive a confirmation email.

Creating a Circ Note

We will sometimes need to create circ notes on items in Workflows.  The purpose of circ notes are to have a pop-up note displayed to the Public Services staff when the item is scanned for any reason.  Most likely, this will occur when the item is returned or checked out.

When a circ note pops up, it must be interacted with by the staff member.

This is what a circ note looks like when an item is scanned.

To place a circ note on an item, follow these steps.

Launch Workflows and log in with your account.

In the upper left corner of the application, click on the tab labeled Cataloging.

Under Item Maintenance, select Edit Items.

It the search box on the right, type in the search term and select the appropriate index.  For example, if you know the items barcode, you would type it in the search box and then select the Item ID index.

If you know the items title, type in the title in the search box and select the Title index.

 

Click on the search button.

If you searched for the item barcode, it will take you directly to the item record.  If you searched another way, you will get a list of results.  Find the item you are looking for and click on it.  Click on the Modify button at the bottom to display the item record.

In the lower right side of the record, scroll down and click in the CIRCNOTE field.  Type in the circ note you want and click on Save.

To remove a circ note or to change it, follow the same steps and either clear the field or modify it.
